**Administrative Assistant, Department of Medicine**


**Your Role** **:**

The Department of Medicine is seeking
an Administration Assistant to provide coordination of the front desk and
related administrative functions. Respond to customer needs by consulting with
others as appropriate or by following established departmental guidelines.
Organize flow of daily operations to ensure service priorities are met. Hours
are 8:00am-5:00pm Monday-Friday.

+ Greet all visitors and guests at front desk

+ Answer main line for department and triage calls asnecessary

+ Accept and distribute all deliveries

+ Sort and distribute all incoming and outgoing mail (USPS andDOM inbox)

+ Maintain inventory of office supplies

+ Maintain inventory for break room

+ Initiate and supervise cleanliness of refrigerator/breakroom

+ Overall suite upkeep, including special event staging anddecorations

+ Initiate and follow-up on all work orders for FacilitiesManagement and Environmental services

+ Manage lab coat cleaning, vendor contract, receive anddisburse

+ Train student workers on front desk responsibilities andcoverage

+ Scheduling Activities: conference room scheduling andmaintenance of calendars. Update calendar and post outside conference rooms daily.Provide meeting assistance and stock room with drinks. Help set up conferenceroom for DOM related meetings. Manage and troubleshoot conference room AVequipment.

+ Process Paperwork: Maintenance of electronic shared foldersand assist with transaction status updates for divisions. Enter DMSencumbrances for 1180s and Check requests for Med Admin centers only. Responsiblefor scanning, logging, and processing all of the following forms on a dailybasis:

+ Paper payroll: Payment Correction requests and PAFs

+ 1180s

+ Check Requests

+ Professional Liability

+ Administrative Support: provide daily support to the Assistantto the Chair and other admin staff as needed. Assist with faculty recruitmentcandidates as needed. Run errands as assigned.

The position requires High School
Diploma or GED and 4 years of experience or the equivalent.

Experience using Microsoft Outlook, Word, Excel, and Concur, strongly desired.

**Physical Requirements/Strengths needed & Physical Demands:**
