Position Summary:

Provides executive support to the Executive Vice President, US Defense.


+ Provide high level, confidential administrative support.

+ Coordinate travel arrangements and logistics including car rental and hotel accommodations.

+ Handle information request.

+ Prepare correspondence, reports, forms, charts, graphs, presentations and other program documentation utilizing available computer software.

+ Manage Executive Vice President US Defense calendar.

+ Coordinate request for staff and external parties.

+ Provide research and administrative supports to special projects as well as preparation of visual aids for meetings and presentations.

+ Assemble and analyze data to prepare moderate complex reports, presentation and documents.

+ Screens and directs incoming calls.

+ Coordinates visitors and ensure proper required documentation is completed.

+ Tracks expenses.

+ Maintains the administrative office space and supply needs.

+ Ensures company's intellectual property is always protected.

+ Protects and controls proprietary information supporting legal and outside counsel.

+ Performs other duties as assigned.

Knowledge, Skills and Experience:

+ Bachelor's degree in Organizational Management, Business Administration or equivalent experience.

+ Seven plus years of demonstrated experience as an executive administrative assistant or equivalent position.

+ Intermediate to advanced knowledge of Microsoft Office 365.

+ Must be able to handle extremely confidential information; displays a high level of professionalism, attention to detail, strong organizational skills, strong written and verbal communication skills; must be able to work in a fast paced environment.

Physical Effort:

+ While performing the duties of this position, the employee is regularly required to talk or hear.

+ The employee frequently is required to use hands to finger, handle or feel objects, tools or controls.

+ The employee is occasionally required to stand, walk, sit; reach with hands and arms; climb or balance; and stoop, kneel, crouch or crawl.

+ The employee must occasionally lift and or move objects up to 25 pounds.

+ Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision and the ability to adjust focus.

Working Conditions:

This job operates in a professional office environment. This role routine uses standard office equipment such as computers, phones, photocopiers, filing cabinets and copy, fax and scanning machines.
