Job Summary: Performs and coordinates a variety of duties in connection with the production and development of marketing materials and providing daily administrative support to the Marketing and Web Teams. Duties and Responsibilities: Works collaboratively with Marketing and Buying teams as it relates to marketing requirements. Receives samples from merchandising buyers maintains records and control logs for the pickup and receipt of samples and initiates correspondence for missing samples to appropriate departments. Inspects samples for accuracy based on advertising information sheets. Works to clarify andor correct problems packs samples for delivery to photographer. Plans the distribution and return of samples sent to the various photographers to ensure that the photography will be completed within the dates established on the advertising production schedule. Independently manifests samples to photographer s. Followsup on receipt authorizes return and receives back to reconcile manifests and close out records and logs. Returns samples to specific merchandise buyers. Assists higher level specialists in various phases of duties in connection with the production and development of marketing materials. Maintains records for all field activities promotional events sales reports and other related marketing materials. Key point of contact for stores regarding coupons flyers etc. Works with photographers on requesting estimates on various marketing jobs. Reviews marketing invoices for accuracy prior to processing for signatures and payment. Maintains tracking report for contract expenses to ensure total amount is within compliance of contract value. Screens request for meetings or briefings for marketing team. Arranges meetings including space time and staff representations. Assembles background materials required for meetings and agenda items. Performs a variety of adhoc duties in connection with supporting the marketing team including but not limited to maintaining email archive for digital flyers Key administrator for the UPS Campus Ship program for shipping and receiving of product and materials creating and managing SS48 purchase requisitions and check requests performs timekeeping functions creates presentations as required ensures office equipment is running adequately and maintains appropriate office supplies maintains archive for print flyers and distribution of flyers. Receives visitors and telephone calls. Treats customers both internal and external with respect and courtesy. Performs responsibilities tactfully and diplomatically. Reports to Merchandise Planning Analyst. Performs other related duties as assigned Qualifications: GENERAL EXPERIENCE Three years of experience in administrative professional technical or other responsible work that enabled the applicant to gain knowledge of sales promotion and advertising techniques and methods. OR SUBSTITUTION OF EDUCATION FOR EXPERIENCE One year of academic study above the high school level may be substituted for nine months of experience up to a maximum of a fouryear bachelors degree for three years of general experience. A ND SPECIALIZED EXPERIENCE One year of responsible experience that provided a basic knowledge of the development and implementation of sales promotion and advertising material that included art copy and layout and utilized various types of sales promotion and advertising media.
