The **HSE Administrative Assistant** reports to both the Health and Safety Team Leader and the Environmental Team Leader and provides administrative support to the Refinery Health, Safety and Environmental (HSE) Department and Staff. The Administrative Assistant performs a wide range of administrative and office duties demonstrating professionalism, working with limited supervision and in a fast-paced environment.
**Responsibilities May Include**
+ Coordinating all office and administrative support duties including but not limited to making copies, building organized packets (e.g. report packets), and maintaining, organizing and ordering materials and supplies.
+ Managing team calendars and scheduling meetings.
+ Coordinating and picking up meals/catering for working lunches and other business-related meal needs.
+ Making travel arrangements for team members.
+ SAP responsibilities such as building requisitions and report building.
+ Building budgets and submitting expense reports.
+ Accurately preparing and editing documents such as meeting minutes, agendas, standards and procedures via programs such as Microsoft Word, PowerPoint and Excel.
+ Maintaining labor hours and submitting timely reports.
+ Delivering time-sensitive documents to a mailing center.
+ Accurately entering information into databases.
+ Gathering, compiling and reporting data for spreadsheets, reports, metrics and presentations.
+ Preparing various correspondence internal and external to the Refinery.
+ Researching, compiling and analyzing data for special projects and reports. May involve gathering information from other Phillips 66 organizations, refinery employees or the community.
+ Coordinating activities and meeting critical deadlines.
+ Will provide support to the Refinery Leadership Team on an as-needed basis.

+ High School Diploma or GED equivalent
+ 2 or more years of experience as an Administrative Assistant or similar role
+ Work overtime which may include some weekends and holidays
+ 18 years of age or older
+ Currently hold a valid driver's license
+ Intermediate proficiency with Microsoft Office products, including Outlook, PowerPoint, Excel, and Word
+ Ability to climb stairs
+ Ability to lift up to 40lbs
+ Bachelor's degree
+ Experience working in a refinery
+ Experience working with SAP
+ Excellent interpersonal and organizational skills and ability to communicate effectively
+ Demonstrated ability to maintain confidentiality
+ Must be able to handle a variety of sensitive situations in a calm, tactful and professional manner
+ Must be able to effectively communicate verbally and in documents and e-mails, high attention to detail and the ability to prepare reports and documents in a clear, concise, and professional format with close attention to spelling and grammar
+ Ability to interface with people internal and external to Phillips 66 in a professional manner that reflects the company's core values
+ Ability to operate a variety of office equipment including computer, copier, facsimile machine
+ Ability to read, understand and review documents for accuracy and relevant information
+ Ability to establish and maintain effective working relationships with colleagues
+ Ability to work well in a team environment with individuals in different positions, backgrounds, cultures and thoughts
The **Borger Refinery** is located in Borger, Texas, in the Texas Panhandle, approximately 50 miles north of Amarillo, Texas. Refinery facilities include crude distilling, naphtha reforming, fluid catalytic cracking, alkylation, hydrodesulfurization and delayed coking units, as well as an NGL fractionation facility. The refinery processes primarily medium sour crude oil produced locally, and heavy sour crude oil produced in Canada, all of which are delivered by pipeline. Borger produces a high percentage of transportation fuels, as well as petroleum coke, NGLs and solvents. Refined products are distributed to customers via pipelines from the refinery to West Texas, New Mexico, Colorado and the Midcontinent region.
