Under supervision, the incumbent will coordinate various educational, administrative and research activities of the Chair of the Department of Psychiatry. Coordinate various symposia and conferences as organized by the Chair. Provide executive support to the Vice Chair for Administration. Working from transcription tapes or handwritten copy, type and/or edit manuscripts and grants according to proper formats, using word processing software on personal computer. Responsible for scheduling, mailing, faxing, mail distribution, customer service, reception duties. Backing-up supervised functions as necessary. Will be expected to run errands when necessary (library research, Federal Express, deliver documents, etc.)
+ Professional manner, ability to interact with a wide variety of people including faculty, staff, professionals, and patients utilizing tact and diplomacy.
+ Proficiency in word processing software (Word, WordPerfect, etc.), slide making software (PowerPoint), spreadsheet and database software (Excel, Access), financial software (Blink-Financial Link, Quicken), and other software (Outlook, Internet).
+ Familiarity and/or experience with psychiatric and/or medical terminology.
+ Demonstrated knowledge of alpha-numeric filing systems.
+ Excellent typing skills (must be fast, accurate and proofread own work).
+ Thorough knowledge of English vocabulary, grammar and usage.
+ Experience in assisting with the preparation of educational materials and conference materials.
+ Strong ability to identify problems and coordinate solutions. Ability to use good judgement and respond quickly and appropriately in a variety of situations.
+ Proven ability to work with general direction and maintain work flow with changing priorities, frequent interruptions and meet all deadlines.
+ Knowledge in on-line bibliographic searches (Meliville, Roger, and MedLine, etc.).
+ Knowledge and/or experience with UCSD policies and procedure, especially as it pertains to forms processing.
+ Skill and experience in preparing grant proposals.
+ Extensive working experience with manuscripts, bibliographic and correspondence formats.
+ Experience and skill in budget projects and accounting procedures.
+ Experience in working from transcription tapes or handwritten copy, type and/or edit manuscripts and grants according to proper formats, using word processing software on personal computer.
+ Experience in coordinating grand Rounds didactic program including CME compliance and reporting activities and coordinating various symposia and conferences as organized by the Chair.
+ Employment is subject to a criminal background check.
+ Must be able to work flexible hours (occasional overtime).
