Job Description

Position: Medical Office Assistant/Administrative

The Cary Hematology Oncology Department is looking for a candidate with exceptional customer service, organizational and computer skills to perform the following duties and responsibilities of a Medical Office Assistant/Administrative:

1. Safety

-Maintaining an environment of safety for patients, self and others

2. Check In and Check Out-Greeting all patients and customers with a warm friendly smile and a welcome statement

-Showing compassion, empathy and respect when interacting with patients/customers and making eye contact

-Addressing patients and customers with their formal name and avoiding the use of terms such as honey and sweetheart

-Determining if the patient needs a new registration account open

-Queuing or capturing patient visits on the daily electronic schedule

-Ensuring all patients have an identification photo in their electronic medical record

-Ensuring that all information printed/written on the encounter form is complete and accurate

-Reminding patients of outstanding balances and inquiring about how they would like to pay

-Collecting payments for insured and self-pay patients and informing them of discounts

-Entering insurance information into the oncology billing system

-Scheduling return appointments

3. Registration-Interviewing and gathering accurate data to complete the registration process

-Meeting the organizational target for accuracy, timeliness and completion of registrations including real time eligibility

-Ensuring that the patient information entered into or currently in the electronic registration system is accurate

-Ensuring registration compliance with organizational, legal, regulatory, and contractual requirements (JCAHO, HIPAA, MSP Questionnaire, CMS, Managed Care, etc.) by having the patient complete and sign the appropriate forms and assuring that the completed forms are scanned into the electronic registration system

-Ensuring that appropriate patient identification and same name alert procedures are followed

-Verifying the patient's insurance information via real time eligibility to ensure timely filing of insurance and if not able to verify the insurance in person, then communicating with the appropriate co-workers to verify the insurance via telephone or computer

-Ensuring that insurance waivers are signed by patients who are self-pay, have not provided complete and accurate insurance information or their treatment is reportedly not covered by insurance

-Scanning insurance waivers into the electronic registration system and notifying appropriate parties of self-pay patients

4. Scheduling Appointments-Scheduling all new and follow-up patient appointments

-Communicating cancellations as needed, attempting to re-schedule whenever possible

-Completing the no show process to include documentation, patient contact and rescheduling of appointments

-Managing the master appointment schedule

-Maintaining close communication with co-workers to accommodate special physician or patient scheduling needs

-Entering the correct referring physician and primary care physician into the appropriate fields in the electronic medical record

5. Phone Calls-Answering the phone in a timely manner and directing calls as appropriate

-Consistently and accurately documenting phone messages, recording the date and times of each telephone message and delivering them to the appropriate party in a timely manner

-Remaining mindful of body language and tone of voice during interactions with customers on the phone and always keeping a smile while talking on the phone

-Listening to the patient or customer with understanding, keeping interruptions to a minimum and when interruptions are necessary, do so in a kind and caring manner

-When transferring calls, waiting for the person to answer and explaining the reason the call is being transferred

6. Reports-Completing the Daily Deposits Reconciliation Report

-Completing the Daily report on PCC accounts with charges

-Going through the schedule for the following day to determine if a new registration account needs to be open and preparing the clipboard registration for those who will need it

-Completing a weekly report on Open BDT accounts that need closing prior to 90 days

7. Other-Processing and delivering mail to the appropriate people or locations

-Managing, stocking and ordering supplies for the entire department

-Notifying the appropriate people of patient deaths and updating the expired patient list in a timely manner

-Providing backup and/or support for other administrative medical office assistants or other team members

-Participating in departmental performance improvement activities

Other duties may be assigned.



It is required that the candidate have a High School Diploma or a GED.


It is preferred that the candidate have a college degree, one (1) year of patient access or related experience, experience in a healthcare setting with exposure to patient registration/scheduling and/or the insurance authorization process and knowledge of medical terminology.
