Description The Administrative Assistant follows established procedures and guidelines to provide timely and effective secretarial support to the CIO of Shared Corporate Solutions, performing varied activities and moderately complex administrative/operational/customer support assignments. This may include, but is not limited to: o Extensive calendar management: schedule many internal and external meetings involving heavy coordination with internal staffo Making complex and detailed travel arrangements using internal travel tools/systemso Managing multiple-tasks with a high degree of efficiency and discretion. o Answering telephones, screens calls, and takes messages so callers/visitors are attended to promptly, courteously, and accurately Responsibilities The Administrative Assistant transcribes, types, formats, and proofreads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software. Coordinates internal and external meetings which may involve scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available. This may include: + Scheduling conference rooms and arrange meetings that often involve catering. + Scheduling manager meetings involving coordination with meeting planners. + Ensuring that technology is appropriate and functional for meetings, conference calls, and videoconferences. + Preparing materials for meetings, conferences and/or speaking engagements. The Administrative Assistant uses office equipment such as photocopiers, faxes, and printers. Additional responsibilities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory. Decisions are typically focus on interpretation of area/department policy and methods for completing assignments. Works within defined parameters to identify work expectations and quality standards, but has some latitude over prioritization/timing, and works under minimal direction. Follows standard policies/practices that allow for some opportunity for interpretation/deviation and/or independent discretion. Required Qualifications + High School Diploma + 2 or more years of administrative/secretarial experience + Time management and organizational skills. + Proven ability to work well under pressure with rapidly changing priorities. + Proficient in Microsoft Outlook, Word, and PowerPoint + Capacity to maintain confidentiality + Excellent organizational skills and attention to detail. + Ability to balance multiple initiatives and prioritize workload + Must be punctual and dependable + Ability to communicate effectively with clients and all staff, and must be able to interact effectively in a customer-oriented environment. + Must be passionate about contributing to an organization focused on continuously improving consumer experiences + Exhibits initiative to forge productive cross-team/department relationships with members who are high frequency touch points.
