The Health, Environmental, and Safety Administrative Assistant reports to the OE/PSM Team Lead and provides technical, clerical and administrative support to the HES Department. The successful candidate must exhibit strong written and verbal communications skills, be a skilled computer software end-user, and be able to deal professionally with employee sensitive issues.

Key Job Responsibilities:

+ Actively support Health, Environment, and Safety related processes by accomplishing daily activities within applicable regulations and policies, carrying out duties in an environmentally conscious manner, following safe operating practices, maintaining a safe working environment, and being prepared to respond to an environmental or safety event.

+ Complete reporting and distribution of action item management status to site Leadership to include excel and pivotable applications.

+ Technical Scribe for Process Hazard Analysis

+ Scribe for Why Tree Investigations and Learning Teams

+ Prepare accurate and timely expense reports

+ MOC KMS Administrator

+ Monitor, format, and send notifications of upcoming and expired actions items to HES team leads and employees.

+ Prepare accurate and timely reports, presentations, and other working documents.OPDMS (Document Management) system administrative support.

+ Coordinate travel arrangements, itineraries, and preparations for site visitors.

+ Schedule meetings and events. Maintain departmental calendars, filing systems, and distribution lists.

+ Manage HES procedures in the database.

+ Maintain a degree of confidentiality and display a high level of professionalism in interactions with others.

+ Coordinate and support efforts to ensure effective document management which includes revision/updating of controlled documents.

+ SharePoint site administrative support.

Required Qualifications:

+ High school diploma or equivalent.

+ Relevant administrative assistant experience.

+ Some college, other training/certifications, or 4 year college degree.

+ Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, Visio), SharePoint, and an aptitude for learning new software packages.

Preferred Qualifications:

+ Familiarity with Oak Point processes, systems, and personnel

+ Experience in Stature, SharePoint systems

+ Experience working with document management systems

+ Strong communication skills. Ability to communicate clearly and professionally, both internally and externally in a clear, concise and effective manner.

+ Proven ability to organize and prioritize work, with attention to detail and accuracy, and perform multiple and varied tasks with limited supervision.

+ Ability to successfully complete a post-offer/pre-placement drug and alcohol screening, background check, as well as pre-placement verification of the information and qualifications provided during the selection process.
