Administrative Assistant - Organizational Learning & Development (Part Time)
General Summary: Under the supervision of a department manager, performs diversified and confidential administrative duties. Requires an intermediate degree of technical and communications/interpersonal skills, knowledge and ability. May administer/coordinate programs, projects, and/or processes as assigned.
Duties and Responsibilities:
1 General typing as directed, initiating other documents and correspondence as appropriate.
2 Answers telephones, routes callers, takes messages and provides routine information to callers.
3 Schedules, coordinates and/or arranges meetings, appointments and/or facilities.
4. Maintains department lists, such as distribution list and org chart.
5 Manages class/meeting room reservations for 2 facilities and maintains a daily class schedule posted at each facility. Sets up and maintains records which may contain confidential information.
6 Compiles data for and prepares regularly scheduled or special reports, analyses and statements.
7 Enters and/or retrieves data from established computer files using knowledge of various computer software applications.
8 Opens and routes incoming mail; distributes correspondence and other material to staff.
9 Contacts appropriate department or vendor with facility or equipment issues.
10 Attends meetings, as required.
11 Administers/coordinates programs, projects, and/or processes as assigned.
2 - 3 years previous experience as an Administrative Assistant
Degree in Business Administration preferred
Ability to multi-task
Basic computer skills; excellent interpersonal/communications skills; Transcription skills
