SUMMARY

Under minimal supervision and on own initiative performs administrative assignments in support of the Sales team.

Gallo Wine Sales of NJ does not sponsor for employment based visas for this position now or in the future.

ESSENTIAL FUNCTIONS

• Maintains calendar, schedules meetings and creates agendas; when applicable.

• Books travel arrangements and itineraries.

• Plans and coordinates departmental events including but not limited to; room

reservations, travel, food, technology, etc.

• Maintains, organizes and prepares a variety of sales and non-technical

correspondence.

• Creates reports, letters, internal documents, or other items from available records,

drafts, or special instructions.

• Manages reports and PowerPoint presentations.

• Receives and screens in-bound telephone calls; receives and directs department

visitors.

• When requested by management, attends and takes notes at meetings and conferences

and prepares summaries.

• Opens, date stamps and distributes incoming mail.

• Tracks vacation time of Sales team.

• Provides administrative support for employee activities.

• Maintains professional journal subscriptions for Executive Management Team.

• Resolves routine and complex department related inquiries.

• Maintains department organizational charts and department map.

• Coordinates and maintains the attendance tracking reports in the department

attendance tracking system.

• Orders office supplies.

• Maintains satisfactory attendance, to include timeliness.

• Responsible for understanding and complying with applicable quality, environmental

and safety regulatory consideration.

QUALIFICATIONS

MINIMUM QUALIFICATIONS

• High school diploma or State-issued equivalency certificate plus 2 years of experience

in an administrative support position reflecting increasing levels of responsibility.

• Skilled in the use of MS Word, Excel, and PowerPoint at an intermediate level.

• Skilled in the use of MS Outlook at an expert level.

• Strong organizational and prioritization skills and attention to detail.

• Prior experience with planning large scale events.

• Effective written and verbal communication skills.

• Uses discretion when dealing with confidential information.

• Experience working independently.

PREFERRED QUALIFICATIONS

• Associate's or Bachelor's degree plus 3 years of experience in an administrative support position reflecting increasing levels of responsibility.

• Experience with organizing, prioritizing and meeting deadlines while working on

numerous on-going projects simultaneously.

• Experience with MS Project and MS Publisher.

• Knowledge of standard office practices and procedures to include experience with

composing and formatting correspondence, business proposals and presentations.

• Strong written, verbal, analytical, organizational and interpersonal skills including

excellent telephone communication skills.

• Communicates and works well with all levels of an organization.
