Kraemer North America is currently looking for an experienced Administrative Assistant to join our team in our Upper Midwest Region (Burnsville, MN). The Administrative Assistant plays a vital role in maintaining an efficient office and job site by providing a wide variety of administrative and accounting tasks to support project and field management. In this role, you will have the opportunity to work alongside our office staff and operations team to support successful completion of diverse projects within the heavy civil construction industry.

Responsibilities

+ Assist Senior Management and Estimators

+ Assist in all aspects of estimating process (vendor solicitation, bid document preparation, photocopying, plan downloading, data entry into MnDot's CRL system, DBE submittal assistance, project handoff book assistance, and distribution, etc.)

+ Compare vendor/subcontractor invoices to purchase orders or contracts to verify quantities, price, payment terms, freight charges, extensions, etc.

+ Compute discounts make sales/use tax determinations and place invoices in line for payment.

+ Assist in monitoring Kraemer North American (KNA) quantities and owner estimates.

+ Assist in doing Final Close submittals for Projects

+ Establish and maintain files in accordance with KNA filing protocol, as directed by supervisor for payroll, accounts payable, general accounting documents and jobsite filing system.

+ Code and verify accuracy of time sheets for processing payroll.

+ Assist in monitoring project cost control and material inventory

+ Prepare various daily, weekly, monthly, annual and job-to-date reports; generate reports and schedules through job costing/accounting system.

+ Client invoice preparation, equipment rental accounting, back charges and invoice tracers.

+ Process and administer training for new hires.

+ Order supplies such as concrete, lumber and fuel; check on availability, schedule shipments, gather information, and correspond with vendors via phone/mail/fax.

+ Assist in monitoring jobsite safety issues; complete and process first report of injury

+ Assist in writing CMO's

+ Assist Foreman and superintendents with field related concerns

+ Assist project managers with labor union notification/communication

Qualifications

+ Minimum 2 years' construction industry accounting and clerical experience

+ Associates degree in business or accounting preferred

+ Knowledge of general office procedures

+ Effective interpersonal, written and verbal communication skills

+ Excellent time management skills and the ability to prioritize work

+ Strong decision making and problem-solving skills

+ Team player with the ability to work independently and take initiative

+ Experience with Microsoft Suite products, Outlook, Viewpoint, Bluebeam and Expedition
