About the opportunity
Our team is looking for a motivated, proactive Document Controller to manage the company's documents on behalf of the business in a controlled manner and in compliance with engineering and drafting standards, procedures and work instructions to ensure that document quality and integrity are met.

Key to success within this role will be the ability for you to build and manage strong relationships with key stakeholders and possess a high attention to detail.

Please note this is a fixed-term contract opportunity until end of August 2020.

Key accountabilities of the role include, but are not limited to:

  • Securely store physical and electronic documents in accordance with BP's information/document management procedures.
  • Process controlled documents for the Fuel business such as registering documents, classifying documents, accurately quality checking document metadata, generating unique document numbers, scanning and storing electronic documents, securely storing physical documents and creating transmittals.
  • Perform Quality Control checks and verify that the necessary mandatory elements required by the business have been satisfactorily met. This includes but is not limited to completeness, accuracy and compliance to all policies and procedures.
  • Liaise with internal and external stakeholders to obtain document approvals and resolve issues.
  • Assist the BP Fuels business to find and retrieve all document versions.
  • Generate document control reports for internal and external stakeholders
  • Perform system audit activities and produce audit reports on user compliance with documented procedures.
  • Coach, train, lead and guide Livelink users and verify competency of those personnel undertaking document control activities.
  • Identify and support continuous improvement initiatives across the document control team

About you
We would love to hear from individuals who possess the following capabilities:
  • 3+ Years Document Control experience required
  • Results focused with a proven ability to prioritize tasks, solve problems and meet deadlines while under timeframe pressure
  • Strong interpersonal, communication and customer service skills
  • Ability to liaise with people at all levels of the business
  • Highly motivated, ability to work independently or within a small team
  • Intermediate level experience in Microsoft suite and Adobe Acrobat
  • Prior experience using a document management system (LiveLink preferred)
  • Working knowledge of the principles of process risk and safety
  • Previous administrative and database management experience within an engineering design consulting practice preferred.
