The successful candidate will be a highly skilled Executive Administrator who will be able to perform a variety of administrative duties in support of the Sponsor's Senior Executive(s).
**Duties, Tasks & Responsibilities**
+ Perform a comprehensive range of direct executive office support for designated Senior Executive(s) and other members of the Senior Leadership Team.
+ Coordinate the workflow of multiple critical issues within a continuously adapting schedule for the assigned Senior Executive(s), cognitive of the criticality, sensitivity, and confidentiality of the issues.
+ Maintain an awareness of internal structural levels and hierarchy within the organization by being cognizant of internal and external Senior Executive interrelationships, styles, and methods of operations.
+ Maintain a schedule of appointments that involves determining the importance of the issues for each meeting and following protocol procedures for contacting principals.
+ Monitor and coordinate systemic impacts of e-mail for action items and glean items from staff meetings and weekly reports that require action; create a system to generate reminders of completion deadlines.
+ Assist and relieve the assigned Senior Executive(s) of a variety of complex executive office support functions involving contact and exposure to highly critical, sensitive, and confidential information.
+ Prepare for visitors by initiating or passing any needed security clearances and escort visitors as needed.
+ Disseminate Senior Executive(s) schedule(s) to appropriate staff and act as liaison between the Senior Executive(s) and others.
+ Summarize lengthy correspondence, highlighting key issues, topics or sentences; follow up to ensure proper and timely action taken as needed.
+ Develop and maintain accurate records and files management systems.
+ Make appointments, travel arrangements, and itineraries; assemble or ensure that packets of information or briefing materials are prepared. Accurately prepare expense statements. Assist and inform Senior Executive(s) of problems that arise during absences.
+ Maintain an efficient office environment; may include assisting in the ordering of supplies, arranging for the repair of office equipment, initiating the installation of new software, or participating in the planning and implementation of office renovation projects.
**Required Experience, Skills, & Technologies**
+ At least five (5) years of administrative, project management, requirements management, and/or systems integration experience OR a Bachelor's Degree in Business Administration or a related business discipline combined with at least three (3) years of the above-referenced experience
+ Demonstrated mastery of the Microsoft Office Suite of applications to complete both routine and highly complex tasks
+ Exceptional written and oral communication skills
+ Excellent customer service skills, demonstrated by anticipating and responding to the assigned requirements
+ Analytical skills sufficient to assess and interpret highly complex information from multiple sources and draw insightful conclusions
+ TS/SCI with Polygraph
**Desired Experience, Skills & Technologies**
+ Current or previous Sponsor experience highly preferred
+ Current or previous administrative experience specifically at the executive level preferred
