Job Title: Logistics Team Administrative Assistant

Employee: Regular full time

Job Location: Sunnyvale, CA

POSITION SUMMARY:

This position will report directly to the Senior Director of Global Logistics. Will have dotted line reporting to the DBS leader for program task scheduling. Logistics team administrative assistant (AA) will support and work with the global logistics department leadership staff to assist in communication, coordination and administrative activities, events, projects and Daily Management. AA will additionally support two Supply Chain executives with various document administration and hospitality activities. The two supply chain executives will be located in another building separate from the global logistics department staff. The job requires a person who is efficient with time management and comfortable being a member of a team that manages multiple complex and diverse global operations. The ability to effectively manage multiple projects, while maintaining complex schedules and providing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Candidate is expected to actively participate in planning and proactively execute duties and not simply wait to follow instructions. Job requires a mature understanding of business protocol and candidate must execute duties and provide support to staff in a fashion consistent with Cepheid business ethic standards. Assuring a steady completion of workload in a timely manner is key to success in this position

ESSENTIAL JOB RESPONSIBILITIES:

+ Global leadership staff calendar management

+ Answer incoming calls and assume other administrative responsibilities

+ Organization, planning and event coordination including agenda development, invitations and hospitalities

+ Coordinating company meetings, events and sessions with other department assistants

+ Meetings notes, and action item follow-up as required

+ Generate memos, emails and reports when appropriate

+ Respond to questions and requests for information

+ Organize and Maintain files and folders for efficient information recovery including training, expense, travel, staffing, insurance data, meeting actions and projects

+ Plan and coordinate travel arrangements for global logistics management team when needed

+ Create and maintain presentations, documents, files, spreadsheets and databases as required

+ Arranging for the delivery of domestic and international packages

+ Preparing some financial, labor and headcount reports

+ Audit, communicate and schedule repairs for general facility/building condition

+ Manage audio and video accommodations for selected meetings

+ Prepare meeting presentation material

+ Support DBS leader with visual management presentations

MINIMUM REQUIREMENTS

Education or Experience (in years):

+ High School degree (or equivalent experience)

+ Minimum of 5 years experience working in a professional services environment

+ 3 Years of experience in an Operations Administrative role

Knowledge and skills:

+ Strong Proficiency with Microsoft Office with expertise in Outlook, Word, PowerPoint and Excel

+ Ability to analyze and revise operating practices to improve efficiency

+ Detail oriented and comfortable working in a fast-paced office environment

+ Excellent written and verbal communication skills

+ Superior organization skills and dedication to completing projects in a timely manner

+ Ability to manage time effectively, set priorities, and meet deadlines

+ Proficient skill organizing data on spreadsheets

Physical requirements/abilities:

+ Can lift 20 pounds

+ Ability to work at a desk with computer for extended periods of time

Other:

+ Available to drive short distances to perform department errands.

PREFERRED REQUIREMENTS (optional):

+ Bachelor's degree from accredited University

+ People management experience

+ SAP user experience

+ Previous experience working in trucking or warehouse environment
