Job Description

Reporting to the Human Resource Manager, the Plant Administrative Assistant is responsible for providing HR and administrative support to the plant employees and leadership team, as well as promoting positive employee relations through the support of plant and team member administrative needs. The Administrative Assistant will engage in coordinating the staffing and onboarding process, supporting compliance with corporate and government requirements; leading the training administration processes, and supporting general administrative needs of the site.

Office hours generally 7:00 am to 4:00 pm, M-F. However, the selected candidate must be willing to periodically adjust the work schedule to support events occurring during night and afternoon shifts in a 24/5 manufacturing operational setting.

Main Responsibilities

+ You will coordinate the staffing activities for the operations team by managing the contingent workforce and acting as HR liaison for the plant and the talent acquisition teams.

+ Lead the on-boarding process: New Hire Orientation, HR policies/benefits for new hires, establishing credit card accounts, business cards, desk setup, office supplies, phone extensions and voicemail.

+ Respond and support routine questions on human resources policies and procedures: assist employees and leaders with benefit, policy/procedure, leave administration, payroll resolution questions/issues, data changes, and other HR tasks as assigned.

+ Develop and actively manage the communication stream of key business and site objectives and initiatives to the hourly workforce, such as plant communication, roundtable, holiday schedules.

+ Manage office files and records, including confidential information and required compliance postings, in accordance with internal procedures.

+ Assist site leadership with requests for data acquisition/analysis and other administrative services. Ensure data integrity for the site personal.

+ Coordinate employee events/celebrations, such as service anniversaries, holiday celebrations, Company picnic/recreational events, and charitable events.

+ Arrange meetings, travel, catering, plant tours, maintain organization charts, phone lists, email groups, employee picture boards, In/Out boards, mail bins and communication boards.

+ Perform clerical, administrative and general office duties involving purchase order requests, recordkeeping and file maintenance, audit and compliance related tasks, document creation, mail distribution, UPS shipments, supply management and telephone reception.

Qualifications

Qualifications:

+ High School Diploma Required. Degree in Human Resources, Psychology, Labor Relations, or related field strongly preferred.

+ 3-5 years experience in an administrative role with HR focus preferably in a manufacturing environment. Will consider less experience in conjunction with degree in a related field.

Knowledge Skills & Abilities:

+ High level of work capacity and ability to work at a high pace. Demonstrated ability to manage multiple tasks and clients simultaneously

+ Excellent verbal, written, and presentation skills

+ Basic knowledgeable on employment laws, HR procedures and practices.

+ Strong organization and time management skills

+ Ability and passion to build relationships and work with employees at all levels of the organization

+ Strength in listening to clients, understanding business concerns and taking action to solve problems.
