Langan has an opening for an Administrative Assistant in our New York office. We are looking for an articulate individual with initiative and flexibility who possesses excellent communication and interpersonal skills. The successful candidate must have outstanding organizational skills, the ability to work independently, and ability to prioritize and handle multiple tasks effectively and efficiently.
Provide administrative support for Principals and Associates as follows:
+ Review email and answer phone calls; prepare and ensure timely responses to a variety of written/electronic inquiries.
+ Maintain calendars and to do lists; assist in scheduling meetings, appointments and travel arrangements.
+ Establish and maintain contact information in accordance with corporate protocols.
+ Establish, manipulate and maintain project files, document templates, databases, records and other documents.
+ Prepare and submit weekly timesheets and expense reports.
+ Maintain records of professional licenses; coordinate renewals and related continuing education course logs.
+ Liaison with Project Managers.
Provide administrative support for Project Managers as follows:
+ Assist with the preparation and management of various documents, including proposals, reports, memorandums, meeting agendas/minutes, agency comment-response letters, project schedules, and technical specifications.
+ Ability to interface with regulator agency, i.e. on-line application submissions.
+ Assist with electronic archival of project deliverables and record documents.
+ Coordinate with Office Services for receipt/ delivery of packages.
+ Associate Degree
+ Strong verbal and written communication skill;
+ Proficient in Microsoft Outlook, Microsoft Word, Microsoft Excel, PowerPoint, and Adobe Acrobat.
+ Strong attention to detail;
+ Ability to work independently and within groups;
+ Sound judgment capability and ability to maintain confidentiality.
