ACADEMIC ASSISTANT, Chemical Engineering (ChemE), to provide complex and diverse administrative support to ChemE’s Student Office. Will act as first point of contact for students, prospective students, faculty, and others in and outside of MIT; and assist with administrative aspects of the undergraduate and graduate programs. Responsibilities include serving as primary contact for the student transfer process and orientation; providing administrative support and counsel regarding registration needs, graduation requirements, student group activities, student funding, and personal concerns; responding to inquiries; processing graduate student funding appointments; supporting the graduate admissions committee with administrative tasks; coordinating the thesis defense process; providing information/instruction regarding departmental and Institute policies and procedures; creating and maintaining database and statistical information for reporting purposes; maintaining/updating graduate student forms; auditing the academic program to ensure students complete Institute and department requirements; acting as lead planner for high-profile department events; organizing/planning dinners, receptions, and student group activities; providing budget oversight for student groups, student-led activities, and recruitment events; assisting in creating and updating informational brochures, advising materials, and web content; compiling and disseminating advisor materials to students and faculty; serving as a liaison to other MIT offices (Office of Graduate Education, Registrar’s Office, International Students Office, etc.); and performing other duties as needed.
REQUIRED: at least three years’ relevant experience; high school diploma or its equivalent; excellent organizational, communication, and customer service skills; attention to detail; and ability to work as a member of a service-oriented team, work independently and follow through on tasks; and initiative. A bachelor’s degree and experience with Macintosh computers, Microsoft Word and Excel, FileMaker, Atlas, and WebSIS preferred. Job #17929-5
